In the first volume the name of the account and account number are recorded in the index and the accumulated receipts and expenditure, sometimes for each month of the year sometimes for the quarter, are recorded in the body of the volume in alphabetical order under account name. When the space allocated for the account was used up, other entries were made in the index, after index entries. The volume is a khaki coloured post binder with leather corners. The volume is registered in the Register of Registers as No.5. (The numbers at the bottom of the front cover are a system of control used by a previous archivist.) Ledgers for the years 1948 to 1973 are missing from the series.
